The opportunity
Silverchain are now recruiting an experienced Assistant to join the team to support the Company Secretary, the Chief Executive, Board Chair and Board Members as required. This permanent full-time role will assist in carrying out the day-to-day work of team and aid in improving current governance and processes for the Silverchain Group.
Key responsibilities
The Assistant to the Company Secretary will have the below major responsibilities:
- Provide confidential and strategic support to the Company Secretary, the Chief Executive, the Boards and the Legal team from time to time.
- Provide management of the Board administration including agendas, action lists, resolutions, maintaining registers and action for the Boards and the Board committees.
- Ensure Board logistics are delivered seamlessly, including annual planners, meetings, inbox and calendar management, travel logistics and IT.
- Act as minutes’ secretary to the Boards and associated committees in accordance with time restraints.
- Co-ordinate functions, events, travel and catering to support the effective running of the Chief Executive and the Board.
- Provide financial administration, including processing invoices to assist in managing the Board Budget.
- Assist the Company Secretary in maintaining Silverchain’s corporate register and intellectual property registers.
- Lodge and maintain summary documentation of reporting obligations for Silverchain entities with the ACNC, ASIC, DMIRS, ACQSC and LARU.
About you
The ideal candidate for this role is someone who has a real passion and enthusiasm for Administration along with being a critical thinker. You are flexible, consultative and approachable with excellent communication skills and strong attention to detail. You will confidently be able to meet the following criteria:
- Advanced level computer skills, particularly in the Microsoft Office Suite, including experience in calendaring and using the Internet to support business needs.
- Strong time management and organisational skills and experience in a similar role supporting business needs.
- Advanced communication skills (written, verbal and listening) and interpersonal skills to develop effective relationships and manage competing priorities and instructions.
- Experience with Diligent Boards portal and the ability assist and upload board and committee packs and manage resolutions and other voting rights within Diligent.
- Experience in effectively working with a Board or Board Committees and delivering priorities through a constructive relationship with the Company Secretary and at all levels of an organisation.
- Demonstrated understanding of the importance of confidentiality and discretion.
